Communities of Practice, Affinity Group and Series are meant to be self-sustaining. EMDC is unable to provide Session and Tech Hosts for these meetings. In order for these groups to function, they need one of more members to commit to organizing and hosting meetings.
Recommended things for a host/coordinator to do:
-Schedule: determine dates and times for upcoming meetings.
Scheduling requests should be submitted to support@emdc.info at least two weeks in advance with group title, date and time in GMT.
- Find a cohost to help with manage meetings.
- Determine the slate of topics to be discussed
- Determine if meetings will be recorded
- Recruit and correspond with presenters (time & date of meeting, arriving early for setup, etc.)
- Host meetings
Typical pre-session duties of a host:
- Launch the Zoom meeting 30 min before session start
- Claim the Zoom host using the "Claim Host" code*
- If the session is to be recorded, pause the recording.
- If the session is not to be recorded, stop the recording.
- Give co-host status to all presenters so that they are able to share screen
- Have the presenters test screen share before session start
- If they are playing any video please ensure they check the Optimize for Video and Share Computer Audio when they share screen.
- Make sure the presenters audio sounds good
- Make sure the presenters video looks good
- No bright lights behind them to washout their video
- They are centered in the video
- Before the session starts, warn participants if the meeting is to be recorded.
- If the meetings is to be recorded, unpause the recording.
- Introduce the presenter or topic (Start with prayer if appropriate)
- During the meeting, mute noisy participants when necessary
- Monitor the chat for questions so the presenter can focus on presentation
- Close the meeting, thanking presenter
- If the session is recorded, stop the recording.
- Debrief with presenter and other hosts to see if improvement can be made,
- Submit a request to support@emdc.info with any technical issues which you encountered which you need help resolving.
*You should have been given the code by one of the admin staff, if not, email received it as part of your startup information)from admin staff below. Please do not share the code with participants.
