Pre-Show Things To Talk Over and Do With the Presenter(s) & Then Things to Announce to start the session (p.s. This looks like a lot to read, but it's not; basically is just about being a good host for a session!)
- Get "Co-Host" privileges from the Tech Host if you are screen sharing later (not required if you are not presenting anything).
- To claim the host of session look here. Use the number found at the bottom of "staff assign" page as the passcode.
- Ask Presenter(s) if they have worked out power point / sound etc with tech host (very likely they have).
- Ask the presenter to put their contact information in the chat box (may need to do this several time as it gets buried and because anyone coming in after a chat is posted does NOT see previous posts).
- Determine with the presenter if you want to do Q&A during or after (usally after).
- Confirm that Presenter(s) will be able to remain after the presentation for a session debrief. (See debrief section below)
- Remind people that we are recording if they need to change their name or mute their video. They have time to do this as the edited / uploaded recording will only start when the presenter starts sharing. The recording will not include the pre-session chatter and the prayer.
- Greet people (if appropriate) if you know them or want to. Before the session starts people can chat comfortably.
- Ask people to put their name, main location of ministry, and why they are attending today...telling them that this will encourage good connections in the chat room (they might meet somone to have ministry with).
- Encourage everyone to post questions, comments, experiences in the chat box. Say this out loud (before: as people are coming in the room) and ask them to do it a couple times in the chat box during the session.
- As it is time to start, you can welcome everyone say some of these things again. Then say that historically EMDC has been a face-2-face conference but now much of it is online.
- Some of the agencies involved include: SIL, Wycliffe Bible Translators, Cru, The Seed Company, OMF, OM, Frontiers, Mission Quest, Faith Comes By Hearing, Pioneers, etc.
- If you like as an opening explanation you can say either "EMDC networks and equips the body of Christ to communicate the Gospel in culturally relevant ways that lead to transformed lives," or "EMDC believes that no one else can do what you do, where God has placed you. It is our goal to help you equip yourself for that task."
- After all initial announcement, pray for the session if you are comfortable with that. Otherwise give the mic to the presenter.
Session Host - Things to Type into Chat Bar.
As Session Host, here are the things that you type into the "Chat Bar". Keep in mind that people only see the chat from when they log on. These items are also provided in other languages: (Spanish)
BEFORE START TIME
- "Please put your name, area of ministry, and why you are interested in this session in the chat box, so others can find you and connect with you."
AS PRESENTATION STARTS
- "Post your questions, comments and observations in the chat box. It will be monitored during the presentation. Feel free to dialog with each other and respond if you know the questions being asked by others."
- Then pay attention to any questions that come up and reply appropriate posts either privately or to everyone.
- Keep a separate list of questions (they may get buried and you cant find them)
- Thank the presenter when he/she is finished and start to address the questions
- **Important** it is very possible that you have to prompt questions and comments from people all during the session. Do it! Often when they see you poking it out of the crowd they will respond and that opens the flow.
Session Host - Optional Things To Say
- A bit of history of EMDC.online. Previously only in person events. Covid changed that and we moved online to get the training going.
- Review some of the upcoming class sessions between now and then (You dont have to do this, but you need to be co-host to share your screen. The Tech host can easialy let you be co-host).
- Encourage people to submit ideas or offer to present a topic on a future session.
TIMING
These are the general "timing" recommendations for the Session Host:
- Make all announcements and set up prior to the start time
- At the start time welcome everyone stating what the topic is. Make the announcement about recording, etc.
- Open in prayer.
- Turn it over to the speaker.
Common Questions (maybe asked to you as host in the chat):
- What are the limitations on sharing or using the materials with others?
We are asking that people only access the video and slides from within the EMDC.online site unless the speaker grants individual permission.
When the recordings are posted, will they be available to all who are enrolled?
All EMDC regular classes (not training tracks) are recorded and will be available to anyone who is enrolled in EMDC.online. You do not have to attend the live class.
Can you send me the video and the slides from this presentation? (Answer the person privately, we don't want to "broadcast" this answer to all.)
We do not have the personnel to distribute the videos and slides to individuals. We ask, if possible, that you wait until they are posted. If you have unique circumstances that require early access, submit a request to the presenter.
Post Show - Session Debrief.
- Get feedback from Presenter, Tech Host and other EMDC staff regarding the event
Find out how the presenter felt about their presentation. Discuss session dynamics with presenter and any staff attendees. What worked well? What problems occurred? Improvements? - Pass on any helpful comments or actionable items to team members as necessary
