Overview

This article describes how to conduct an EMDC Training Track which is different than a regular class. The big difference is that the live, on-screen conducting of the training track is managed only by the Training Track Staff (e.g. Presenters and Technical Assistants).  EMDC.online is primarily used for pre-track signup and communication. But EMDC does NOT provide assistance with the Zoom side of things. (for normal  classes EMDC will provide a technical host and a session emcee).  The set up of a Training Track is explained in "Training Track Set Up."


Zoom Setup

We have another article that explains how to set up Zoom. It is the responsibility of the Training Track Staff to get this all setup. If assistance is needed, submit a support ticket for assistance


Applying For Selection

Training Tracks use an "application" process rather than instant acceptance. This allows the Training Track Staff (TTS) to screen the folks who apply to select those who they feel will best benefit and fit with this class. It also allows for you to keep the class within a class size limit. Attendees go through a three step process: Apply - Offer - Accept.  Once offered or accepted, they are free to attend the class. The administrative process for the TTS is explained in the article titled, "Course Application Process & Selection Categories."


Selecting Attendees

The Training Track Staff will be given admin access to change the status of the attendees who applied to take this training track. This article explains this in detail.  


Class Size Limit

A required step in conducting a Training Track is determining the class size. This should be the maximum number that you feel you can manage in an online setting.


Automated Communication Timeline

This timeline describes what the automated EMDC.online software does leading up to the session. The phrase "Start Time" refers to the designated starting time for this presentation. It will be abbreviated as sTime.  "End Time" (eTime) designates the time period when this presentation is scheduled to end. These communications will occur for EACH session of the training track and they begin 24-hours before each session.

  • Daily at UTC 3:30am: If a change was made to an attendee status (if "apply option above is being used"), an email is sent requesting confirmation action or a status update. 
  • Twenty-Four Hours Before sTime: A reminder letter will go out to attendees inviting them to "check in" to this event. This goes to those whose status is "active" and "offer." 
  • One-Hour Before sTime: A "starting in one hour" reminder goes out.
  • 30-Minutes Before sTime: The "Attend" button appears which when clicked will reveal the Zoom meeting settings. If set up correctly, attendees should be able to join before the presenter in order to have dialog with each other. 
  • At sTime: Nothing changes on the site, it is simply expected that you begin.
  • At eTime: The "Attend" button changes to "Class Ended" and the email for the evaluation goes out just to those who attended (yes, the system knows). NOTE The "evaluation" feature is not yet working. It is scheduled to be done in the fall.


Presenter Responsibilities

EMDC.online manages the pre-class communications and technical details for enrollment, etc. As presenter, your main job is to present. You should know the the drill for how to use appropriate visuals (PowerPoint, Google Slides, etc.). using Zoom. 


Hosting Options

The "host" role is in the context of how you will use Zoom. As a Training Track you are expected to use your own Zoom account and do all of your own in session support. Most often, there is someone who is designated as the "Technical Host." They are the person that 1) Starts the Zoom Meeting; 2) Assign other people as co-hosts; 3) Manages the Chat; 4) Starts the Recording and 5) Optionally Shares the Slides/Videos from their computer. 


You need a paid Zoom account that can handle the number of anticipated attendees and the length of your seminar. The free Zoom account has a 40-minute limit and 100 participants. As a self-host you will start the meeting ten minutes before the sTime.
